Wondering how you can share an asset with your team members? Keep reading for more details.
How to share projects
First off, switch to the team's workspace. Go to the profile dropdown and click on the team's name to ensure you are in the team's workspace.
Next, click 'Team projects' to be taken to the team's projects page.
On the team's projects page, find the project you want to share, hover above it, and click the Share icon
On the pop-up, enter the names of the team member(s) you want to share the project within the text box or click on their names in the drop-down.
You can also click the name of the team which will always be on top of the list to share it with everyone on the team.
After entering the names of the team members you want to share the project with, you can then proceed to click the Share button.
If you mistakenly entered the name of a team member you do not want to share the project with or you want to revoke a team member's access to your project, click the delete icon next to the member's name to remove them from the share list.
Upon successful sharing, you will receive a notification confirming it and the 'Shared with' icon will be indicated on the shared project for easy identification as seen in the image below.
You can click the icon to see the list of team members that a particular project is currently shared with.
How to share folders
Similar to Projects, folders can also be shared with team members
Simply click on the 3 dot menu and press share folder
Select the Users you want to share it with and press share
Once a folder is shared all projects inside it are shared as well
Once shared you can also un share the folder with specific team members or with everybody
The root folder corresponding to the Team projects cannot be shared
You can move projects across folders, however if you want to move a project to a folder which is not accessible to the owner of the project itself, you cannot do that. The correct way to do that is to first share the folder with the owner of the project
You cannot delete a folder which contains a project owned by someone else. The correct way to do that is to ask the project owner to delete the project and then you can delete the folder
How to share visuals
On the storyboard, go to 'Visuals' on the left menu > go to the 'My uploads' tab.
Find the visual you want to share, hover above it, and click the Share icon.
On the modal, enter/click on the name of the team member you want to share the visual with or click on the name of the team to share it with everyone on the team.
Click the 'Share' button on the pop-up to share the visual,
When the visual has been shared successfully, you will get an in-app message to confirm it and the 'Shared with' icon will be indicated on the card which you can click to see the name(s) of the team member(s) the visual is shared with.
How to share audio
On the storyboard, go to 'Audio' on the left menu > go to the 'My Uploads' tab.
Find the audio recording/file you want to share and click the three dots next to it. From the three dots, click 'Share'.
On the modal, enter/click on the name of the team member you want to share the audio with or click on the name of the team to share the audio file with everyone on the team.
When the audio has been shared successfully, you will get an in-app message to confirm it and the 'Shared with' icon will be displayed next to the file. You can click on it to see the name(s) of the team member(s) the audio is shared with.
How to share brands
Go to the brands and hover over the brand you want to share. Then click the share icon.
You can also open the brand and click the share icon on the top right corner of the brand editing page to share the brand.
Clicking the share button will display the share pop-up where you can enter/select the name of the team member(s) you want to share the brand with. Or click on the name of the team to share the brand with everyone on the team.
When the brand has been shared successfully, you will get an in-app message confirming it and the 'Shared with' tag will be displayed next to the brand. You can click on it to see the name(s) of the team member(s) the brand is shared with.
And that's how easy it is to share your assets within a team!
*Users will get an email notification for every asset a team member shares with them, so you don't have to notify your team members of shared assets.
